Four plans, near-identical names, and a big difference in what you actually get. Here is how to pick the right Microsoft 365 licence for your team.

Four plans. Names that differ by a single word. A comparison table on the Microsoft website with roughly two hundred rows. No wonder most companies pick something once and never look at it again.

The problem is that Microsoft 365 business plans differ in ways that matter enormously, and the gap is not really about apps. It is about security and device management. Pick the wrong one and you either pay for capability you never switch on, or you leave your company without protection you assumed was included.

The four Microsoft 365 business plans in plain language

All of the Microsoft 365 business plans are capped at 300 users. Above that you move to enterprise licensing, which is a different conversation.

Apps for business

The desktop Office applications and cloud storage, with no business email. Useful in a narrow set of cases, for example a company that runs mail somewhere else entirely. For most teams it is a dead end.

Business Basic

Business email, Teams, SharePoint and OneDrive, but only the web and mobile versions of Word, Excel and PowerPoint. No installed desktop apps. Fine for frontline staff who mostly read and reply. Frustrating for anyone who lives in a spreadsheet.

Business Standard

Everything in Basic plus the full desktop applications, webinar features and Clipchamp. This is the default choice for office staff, and it is where a lot of companies stop. Business Standard covers productivity properly. It does almost nothing for security beyond the basics.

Business Premium

Everything in Standard plus the security layer: Intune device management, Entra ID P1 with conditional access, Defender for Business, and data protection tooling. This is the plan that changes how your IT actually works.

The real dividing line in Microsoft 365 licensing

Between Standard and Premium sits the question that matters: can you control the devices your data lives on?

With Business Standard, a laptop is just a laptop. If someone leaves, or loses it in a taxi, your options are limited to changing a password and hoping. With Business Premium you can enforce encryption, require a PIN, push updates, and wipe company data from a device remotely without touching personal photos.

Conditional access is the other half. It lets you say things like “no sign-in from outside Europe” or “unmanaged devices get web access only”. These are the controls that stop a stolen password from becoming a stolen company.

When people ask us which of the Microsoft 365 business plans to choose, this is the question we ask back: what happens tomorrow if a laptop disappears? The answer usually decides it.

Mixing plans is allowed, and often smart

You do not have to put everyone on the same licence. A warehouse team that checks schedules on a phone does not need what your finance manager needs.

A common split looks like this: Business Premium for anyone handling finance, HR, customer data or admin rights, Business Standard for general office staff, Basic for occasional users. That said, mixed environments only work if someone reviews them. We regularly find companies paying for licences belonging to people who left two years ago.

The Microsoft 365 licensing mistakes that cost the most

  • Paying monthly out of habit. An annual commitment is meaningfully cheaper, and most of your headcount is predictable.
  • Buying Premium and using none of it. Intune device management does nothing until someone configures the policies. This is the single most common waste we see.
  • Never removing licences. Offboarding often stops at disabling the account.
  • Adding Copilot before the foundation is right. If your permissions are messy, an AI assistant will surface documents people should never see.
  • Assuming email is backed up. Microsoft keeps your service running. Retaining and restoring your data over the long term is your responsibility.

Prices and plan contents change regularly, so check current figures before you commit rather than working from a comparison you read last year.

What good looks like

A well-run tenant is quiet. Staff sign in once with multi-factor authentication and everything works. New starters get the right licence on day one. Leavers lose access the same afternoon and their licence goes back in the pool. Devices are encrypted and patched without anyone chasing them.

None of that comes out of the box. It comes from configuration, and it is worth far more than the difference between two Microsoft 365 business plans on an invoice.
